Advancement Services/Alumnae Relations Associate

This position will encompass both advancement services and support for Nightingale-Bamford’s alumnae relations.

The Advancement Services Associate position is responsible for gift processing and reporting on capital, annual, and endowment gifts to Nightingale-Bamford within the Raiser’s Edge database. Specific responsibilities include entering and acknowledging gifts, assisting in account reconciliation, and producing regular reports as to the status of various fundraising efforts. This individual must have a detailed knowledge of Raiser’s Edge, particularly focused on gift entry so as to be able to identify donors for gift acknowledgement and detailed analytics. As a member of the Advancement team, this individual must be able to help the staff develop appropriate and efficient ways to track prospective donors, their gift capacity, affiliations, and interests.

In addition, this position will support the Director of Alumnae Relations, helping to cultivate alumnae, recruit volunteers, strengthen the reunion program, and implement regional and local alumnae event and engagement programs.

This is a full-time, 12-month administrative position reporting to both the Director of Institutional Advancement and the Director of Alumnae Relations.

Responsibilities

Daily

  • Record and acknowledge all gifts daily including cash, pledges, stock transfer, wires, and in-kind donations
  • Prepare and process acknowledgements in a timely manner
  • Provide required documentation to the Business Office for all gifts and pledges
  • Provide accounting support for special events including sponsorship billing and reports
  • Provide ongoing support to the Advancement team for standard and custom reports in Raiser’s Edge on a timely basis
  • Support overall management of the Raiser’s Edge database including updating constituent information, creating new records, and data cleanup

Weekly

  • Compile giving reports for the annual fund, capital campaign, and endowment funds. This includes cash/stock, pledges, participation in summary and broken down by constituent.
  • Update the Director of Institutional Advancement, the Director of Annual Giving, and the Director of Alumnae Relations on gifts that have come in that week
  • Provide month-end reports for Business Office reconciliation
  • Prepare and mail pledge reminders
  • Provide support to phone-a-thons and contact-a-thons, including preparing calling cards, set up and tracking results

Projects/As needed

  • Prepare lists for the Annual Report, including the Printer’s Proof in the spring.
  • Track, real-time, gifts as they come in for Giving Tuesday and Nightingale Gives and update the Communications team so they can post progress to all involved
  • Insure that all policies and procedures for effective data management, as set by the Data Manager, are followed
  • Coordinate all data-related problems and maintenance to the database with the Data Manager and the Director of Institutional Advancement
  • Provide support to the Director of Alumnae relations through:
    • Recruitment of alumnae to serve as class agents for purposes of engagement; events, solicitations, and collecting class notes
      • Research alumnae giving histories and engagement with Nightingale
    • Alumnae Events
      • Identifying event objectives/desired outcomes
      • Determine Impact/engagement measurement(s)
      • Generating/ordering nametags, giveaways, supplies
      • Generating alumnae attendee briefing documents for key staff
      • Updating event attendance in the database
      • Debriefing sessions after each event
    • Record meeting minutes for Alumnae Board
    • Purchase and maintain inventory of alumnae gifts
    • Coordinates alumnae mailings, including mailing lists/labels
    • Work with Communications to manage Alumnae-specific social media presence

Qualifications

  • Bachelor's Degree
  • 3-5 years database experience, preferably Raiser’s Edge
  • Experience in alumni/ae relations preferred
  • Experience working in an independent school setting
  • Fluent in the latest technology pertinent to job duties and is knowledgeable of database systems, structure, and best practices
  • Is highly analytical and has an inherent attention to detail
  • Has the ability to understand and meet reporting needs and to probe the database for information and analysis
  • Possess general accounting and bookkeeping knowledge
  • Excellent oral and written communication skills
