Human Resources Generalist/Accounts Payable Associate

Reporting to the Director of Human Resources with a dotted line to the Associate Director of Finance, this position is a key resource to the business office functions.  Must be team orientated but able to work independently in achieving the mission of the department and school.

Human Resource Duties and responsibilities include:

Payroll Administration and Budget Tracking

  • Create and oversee appropriate processes and structures to ensure timely payments to all classes of employees and consultants.
  • Work with the Controller and CFO to ensure that employee expenditures are accurately charged and allocated to correct accounts and/or cost center budgets.

Benefits Administration

  • Administer employee benefit programs including retirement plans, medical, dental, vision, life insurance, disability, etc.

Records Maintenance and Compliance

  • Create systems to maintain personnel and payroll records, including time and attendance information, appointment data, and other personnel information in compliance with applicable laws, regulations, and policies.
  • Standardize employee documentation and ensure confidentiality and integrity of all human resource information systems and record- keeping procedures.
  • Organize and maintain personnel files.

Accounts Payable, finance office support includes:

Accounts Payable

Work with Finance Associate to:

Code all bills and submit to department head and director of finance for approval

  • Enter disbursement information into Blackbaud Accounts Payable module
  • Print checks on a weekly basis
  • Prepare individual checks when the need arises
  • Track unpaid bills when vendors call
  • File paid invoices/check requests along with back-up material
  • Prepare agreements and billing for outside groups or persons renting school property, track payment of said rentals and receipt of insurance certificates
  • Analyze A/P vendors in preparation for 1099 distribution at end of year

Other finance office duties include but are not limited to:

  • Serve as a back-up for the Finance Associate
  • Create and develop spreadsheets and visual presentations for the Associate Director & CFO.
  • Establish, develop, maintain and update filing system and filing index for the director of finance and the business office. Retrieve information from files when needed.  
  • Sort and distribute mail for the business office.
  • Assist with mailings of student bills and enrollment contracts.
  • Coordinate financial aid process, including monitoring of document receipt through School and Student Services website and mailing of financial aid award letters.


Bachelor's degree in business administration, psychology, organizational management or a related field required; knowledge of human resources concepts, practices and procedures. Strong working knowledge of human resource concepts, practices, and procedures. Strong working knowledge of federal, state, and local employment laws such as FMLA, FLSA, ADA, etc.  A minimum of 4 to 6 years of human resource generalist experience, including payroll administration, employee relations and personnel budget oversight. Some staff supervisory experience. PHR or SPHR certification preferred or required.  Strong interpersonal and leadership skills; proficiency with Microsoft Office Suite, human resource information systems and Excel;  excellent writing and oral communication skills; attention to detail and ability to multi-task required; a customer service orientation and strong problem-solving skills; demonstrated tact, discretion, and diplomacy.
